Please read these terms carefully before you book.
These terms do not affect your legal rights.
When we confirm the student’s booking, this becomes a legal agreement under English law for the period shown on the enrolment form.
All individual students must pay an enrolment fee of £65 when booking.
To confirm the place, you must also pay:
10% of the total invoice for homestay bookings
£50 per student per night for residential bookings
All remaining fees must be paid in full 40 days before the course start date.
If the booking is made less than 40 days before the start date, all fees must be paid at the time of booking.
Lewis School may refuse to provide services if full payment has not been received by the start date.
If you want to pay by bank transfer, please contact us for our bank details. You must pay all bank charges.
Please make sure the student’s name and invoice number are clearly included with the bank transfer.

It is the student’s responsibility to arrange:
a valid passport
any visa needed
any other travel documents
Where needed, Lewis School will provide documents to support a study visa application. These are usually sent free by email as PDF files.
If you need the original paper documents, a fee will apply.
a) During the 14-day cooling-off period
If the student booked by email or online, they have a 14-day cooling-off period.
This means they can cancel within 14 days for any reason and receive a refund of all fees, minus any bank charges.
The school will make the refund within 14 days of being told about the cancellation.
If the student asked the school to start providing services during the cooling-off period, the school can charge a reasonable amount for the tuition and accommodation already used. This amount can be taken from the refund.
Please note that accommodation cancellation terms still apply. See section 17.
b) Outside the cooling-off period
If the student cancels after the cooling-off period, or if the cooling-off period does not apply, the following charges will apply:
15 or more days before the course starts: enrolment fee + residential accommodation deposit
7 to 14 days before the course starts: 50% of package fees + enrolment fee + residential accommodation deposit
Less than 7 days before the course starts: 75% of package fees + enrolment fee + residential accommodation deposit
After the course has started: no refund
If a refund is made, bank charges will be deducted.
If the course is cancelled less than 7 days before the start date and the student has booked homestay, 1 week of accommodation will be charged.
The school may cancel a programme if:
there are not enough enrolments to run it, or
events outside our control make it impossible to provide the services
Examples include fire, flood, terrorism, war, or a pandemic.
If this happens, the school may offer another programme. The student can choose not to accept this and ask for a refund instead.
The school may cancel a programme up to 7 days before the start date.
The school is not responsible for the student’s travel costs, except for taxi transfers booked through the school.
There is no refund of tuition fees if the student leaves the course early.
There is also no refund for lessons missed because of absence or public holidays.
Tuition fees can be transferred to another course under section 12, but they cannot be transferred to other services such as:
accommodation
airport transfers
exam fees
Insurance fees are not refundable.
Unused accommodation fees are refundable.
Visa refusal
If the student’s visa application is refused, and the school receives written proof at least 7 days before arrival, the school will refund tuition and accommodation fees in full, but will keep the £65 enrolment fee.
If written proof of visa refusal is received less than 7 days before arrival, the refund will be made minus:
the £65 enrolment fee
1 week of tuition
1 week of accommodation
All agreed refunds will be paid within 4 weeks after you send the school:
bank details, and
signed permission to pay the refund to that account
If payment was made by card, any refund can only be made to the same card.
The student can postpone their course start date by giving the school at least 7 days’ notice.
During the cooling-off period, the student can postpone at any time.
The school strongly recommends that the student has full:
medical insurance
travel insurance
personal insurance
This is important in case of accident or emergency.

If the student has their own insurance, the school will ask for proof of the policy.
Students or parents/guardians must tell us on the application form about any:
physical or mental illness
allergy
disability
other condition
that may:
affect the student’s ability to complete the programme
affect the health or wellbeing of other students or staff
need monitoring, treatment or emergency help during the programme
Lewis School may refuse an application or end a student’s enrolment if their continued participation creates a risk to their own health, safety or wellbeing, or to that of others.
In this case, no refund will be given, and parents/guardians must pay any costs of returning the student home.
The school describes its programmes in good faith, but sometimes changes are necessary.
The school may make small changes to the activity programme because of:
weather
transport problems
venue problems
other events outside our control
The school may also change courses, venues, facilities, and programme dates if necessary.
If there are not enough enrolments to run a course, the school may cancel it up to 7 days before the start date and offer:
an alternative course, or
a refund, depending on the course preferences given on the booking form
Lewis School may change prices without notice because of:
tax increases
inflation
government action
other events outside our control
Sometimes events outside our control may affect the course or accommodation. If this happens, we will contact you as soon as possible and try to reduce the effect on your arrangements.
If we do this, we are not responsible for delays, changes or failure to provide services caused by these events. However, if there is likely to be a long delay, you may contact us to end the contract and receive a refund for any course or accommodation you paid for but did not receive.
No compensation will be paid for changes caused by events outside our control.
These events may include:
war
terrorism
riots
natural or man-made disasters
pandemics
epidemics, including COVID-19
fire
bad weather
technical problems
transport breakdowns
airport or port closure or congestion
industrial disputes
new laws
action by a government or public authority, including quarantine rules
If there is a government lockdown, all courses will move online. Students may stay in their accommodation and remain in the UK, or return home and continue studying online.
If they do not want to move to online lessons, they will be offered a credit note valid for 2 years from their last day of study with us. In this case, there is no course refund.
If they return home, the remaining accommodation balance will be refunded.
If you want to complain about the standard of service, you must send your complaint in writing to Lewis School before the departure date.

If a student behaves very badly, they may be asked to leave immediately and no refund will be given.
The school decides what counts as serious misconduct.
All students must pay for any damage they cause. This includes damage in accommodation booked through the school.

Junior students must attend all lessons and activities and must arrive on time.
If they do not follow this rule, they may be expelled without a refund.
Please see our Attendance and Punctuality Policy.
All students staying in residential accommodation must pay a £45 deposit on arrival.
This covers:
lost keys
damage of any kind
The full amount, or the remaining balance, will be refunded on departure.
Junior students usually share a twin room. They may share with a student of the same or a different nationality.
The school keeps £15 per week from the published homestay price to help cover administration costs. The rest is paid to the host family.
If the student wants to change or cancel homestay after arrival, the school requires 1 week’s notice or payment instead of notice.
You must provide flight details for arrival and departure at least 2 weeks before the flight.
If the student is staying in residential accommodation, arrival and departure times can be flexible.
If the student is staying in homestay, please remember that hosts may not be able to accept arrivals or departures at unsociable hours, especially between 22:00 and 07:00. This time means the arrival or departure time at the homestay, not at the airport. Please check the transfer time on our Airport Transfer Fees document before booking flights.
Late arrivals or very early departures may mean we need to arrange temporary accommodation for the student. This may cause significant extra cost.
If the student is under 16 and travelling by plane without an adult, it is your responsibility to check the airline’s rules for unaccompanied minors.
Different airlines have different age limits and procedures.
Once you tell us the airline rules, we can make sure we follow the correct arrival and departure procedures for your child.
In some cases, extra charges may apply.
Many airlines require children under 16 to be checked in by an adult, who must stay at the airport until 1 hour after departure from a UK airport.
If the student is under 16 and is flying from the UK without an adult, the school will arrange this service.
In this case, an Airport UM Service fee of £80 will be added to the taxi transfer fee.
Sunday is the school’s normal arrival and departure day.
If the student arrives on another day, any missed lessons or activities cannot be replaced.
Lewis School does not accept responsibility for:
accidents
loss
theft
You understand that our programmes are active, so there is a small natural risk of injury.
We will carry out risk assessments and provide the programmes in a safe environment.
This does not affect your legal rights.
The school may take photos or videos during the student’s programme for marketing, including social media.
Both the student and the parent/guardian can choose not to allow this.
The parent/guardian will receive a consent form and can opt out of the student’s image being used in school publicity.
The student will also receive a form during induction and can opt out too.
Any images given to the school or its staff may be used in Lewis School publicity without payment and without naming the owner.
The school aims to be an inclusive and welcoming place and to protect students from unfair treatment based on sex or gender identity.
During booking, the school collects information about the student’s sex, as shown on their passport. This information is needed:
to arrange suitable accommodation, where relevant
to provide single-sex spaces such as toilets and twin rooms as part of safeguarding
to meet legal or regulatory duties
to provide information to governing or accrediting bodies
If a student’s gender identity is different from the sex shown on their passport, the student or parent/guardian may choose to tell us this so that we can better support the student’s needs.

Lewis School takes privacy and data security seriously.
Personal information is stored securely and will only be shared when necessary. This may include:
the student’s homestay host
a taxi company
relevant governing or accrediting bodies
All personal data will be processed in line with GDPR.
