Conditions of Enrolment in Simplified English – Adult Programmes

Please note: this simplified English version is designed to help students understand the main points more easily. The full Conditions of Enrolment remain the official version.

Please read these conditions carefully before you book your course. Please also read our Student Selection Policy. We may refuse an application if it does not meet this policy.

When we confirm your booking, this becomes a legal agreement under English law for the period shown on your enrolment form. Your legal rights are not affected by these conditions.

All fees must be paid in full 14 days before your course starts. If we do not receive payment by this date, the school may not provide the course or other services.
  • If you want to pay by bank transfer, please contact the school for our bank details.
  • You must pay all UK and overseas bank charges.
  • Bank transfers can take 5–6 working days to arrive, so please allow enough time.
  • Please include your name and invoice number clearly with the payment.
a) During the 14-day cooling-off period
  • If you book by email or online, you have a 14-day cooling-off period.
  • You can cancel within 14 days for any reason and receive a refund of all fees, minus any bank charges.
  • We will make the refund within 14 days of the date you tell us you want to cancel.
  • If you asked us to start services during this period, we may charge a reasonable amount for what you have already used.
  • Accommodation cancellation terms still apply (see section 15).

 

b) After the cooling-off period
You can still cancel your programme, but the following charges apply:
  • 15 or more days before the course starts: enrolment fee only.
  • 7–14 days before the course starts: 50% of tuition fees + enrolment fee.
  • Less than 7 days before the course starts: 75% of tuition fees + enrolment fee.
  • After the course has started: no refund of tuition fees.
  • If you cancel less than 7 days before the start date, you will also be charged 1 week of accommodation (if applicable).
  • If we make a refund, bank charges will be deducted. Unused accommodation may be refunded according to section 15.
The school may cancel a programme in the following situations:
  • There are not enough enrolments to run it.
  • We cannot provide services because of events outside our control (for example, fire, flooding, terrorism, war or a pandemic).
If this happens, we may offer you another programme. You can choose not to accept it and ask for a refund instead.
  • We may cancel a programme up to 7 days before the start date.
  • The school is not responsible for your travel costs, except for taxi transfers booked through the school.

You can postpone your start date if you give the school at least 7 days’ notice.  During the cooling-off period, you can postpone at any time.

There is no refund of tuition fees if you leave the course early. You are not entitled to a refund for lessons missed because of absence or public holidays.
  • Tuition fees can be moved to another course under section 11.
  • They cannot be moved to other services such as accommodation, airport transfers or exam fees.
  • Insurance fees are not refundable.
  • Unused accommodation fees are refundable.

 

Visa refusal
If your visa application is refused and we receive written proof at least 7 days before arrival, we will refund your tuition and accommodation fees in full, minus the £65 enrolment fee.
If we receive written proof of visa refusal less than 7 days before arrival, we will refund your fees minus:
  • The £65 enrolment fee.
  • 1 week of tuition.
  • 1 week of accommodation.

 

All agreed refunds will be paid within 4 weeks after you send us:
  • Your bank details.
  • Signed permission for the refund to be paid to that account.
If you paid by card, any refund can only be made to the same card.
The school closes for two weeks at Christmas and New Year. During this time, all homestay accommodation must be full board.
  • 2025/26: Closed from 20/12/2025, reopens 05/01/2026.
  • 2026/27: Closed from 19/12/2026, reopens 04/01/2027.

The school will also be closed on the following public holidays in 2026:

03/04/2026
06/04/2026
04/05/2026
25/05/2026
31/08/2026

There is no discount or reduction in tuition fees for courses that include public holidays.

Students are expected to attend all lessons.

You must tell the school immediately if you are ill or absent for another reason.

If your average attendance is below 80%, you will not receive a course certificate. Absence because of illness will be taken into account.

You must arrive on time for lessons. Late arrival can disturb the teacher and other students. The school decides whether a late student can enter the class.

Special rules apply to students under 18. Please see the Policy for Under-18s on Adult Courses.

If you repeatedly do not follow the school’s Attendance and Punctuality Policy, you may be expelled without a refund. Rules for cancelling 1:1 lessons are also explained in this policy.

The school may:

change teachers
change classrooms
change lesson times
combine classes if needed

 

You can change to another course. Any remaining fees will be moved to the new course.

If the new course costs more, you must pay the difference.

This does not apply to 1:1 lessons. These must be booked separately.

Students or parents/guardians must tell us on the application form about any:

physical or mental illness
allergy
disability
other condition

that may:

affect the student’s ability to complete the programme
affect the health or wellbeing of other students or staff
need monitoring, treatment or emergency help during the programme

Lewis School may refuse an application or end a student’s enrolment if their continued participation creates a risk to their own health, safety or wellbeing, or to that of others.

In this situation, no refund will be given, and parents/guardians must pay any costs of returning the student home.

If a student behaves very badly, they may be asked to leave immediately. In this case, no refund will be given.
The school decides what counts as serious misconduct.

Students must pay for any damage they cause, including damage in accommodation booked through the school.

Homestay fees must be paid in advance.

If you want to cancel your homestay, you must give 1 week’s notice. You will receive a full refund for the remaining booked period.

The school does not charge an administration fee for this.  From the published homestay price, the school keeps £15 per week to help cover administration costs. The rest is paid to the host.

If you choose residential accommodation, the school will tell the residence and send you a link so that you can book directly with the accommodation provider.

It is your responsibility to arrange:

your passport
your visa
any other travel documents you need

Where needed, Lewis School will provide documents to support your visa application. These are usually sent free by email as PDF files. If you need original paper documents, a fee will apply.

The school strongly recommends that you have full:

medical insurance
travel insurance
personal insurance

This is important in case of accident or emergency.
The school can arrange insurance for you.

All students under 18 must send us a signed Under-18 Policy Agreement Form before the course starts.

loss of personal items
damage to personal items
theft of personal items

The school may take photos or videos during your programme for marketing purposes, including use on social media.

During induction, you will receive a form where you can choose not to allow this.

Any images given to the school or its staff may be used in Lewis School publicity without payment and without naming the owner.

Students must show their passport, and the school will keep a copy.

Students must also give the school full and correct contact details and must tell us if these details change.

Lewis School takes privacy and data security seriously. Personal information is stored securely and will only be shared when necessary. This may include, for example:

your accommodation provider
a taxi company
relevant governing or accrediting bodies

All personal data will be processed in line with GDPR.

The school wants to be an inclusive and welcoming place for all students.

During booking, we collect information about each student’s sex, as shown on their passport. We need this for reasons such as:

arranging suitable accommodation, where relevant
meeting legal or regulatory requirements
providing information to accrediting or governing bodies

If a student’s gender identity is different from the sex shown on their passport, they may choose to tell us this as additional information so that we can better support their needs.

Sometimes events outside our control may affect the course or accommodation. If this happens, we will contact you as soon as possible and try to reduce the effect on your arrangements.

If we do this, we are not responsible for delays, changes or failure to provide services caused by these events. However, if there is likely to be a long delay, you may contact us to end the contract and receive a refund for any course or accommodation you paid for but did not receive.

No compensation will be paid for changes caused by events outside our control.

These events may include:

war
terrorism
riots
natural disasters
man-made disasters
pandemics
epidemics, including COVID-19
fire
bad weather
technical problems
transport breakdowns
airport or port closure or congestion
industrial disputes
new laws
action by a government or public authority, including quarantine rules

If there is a government lockdown, all courses will move online. Students may stay in their accommodation and remain in the UK, or return home and continue studying online.

If a student does not want to move to online lessons, they will be offered a credit note valid for 2 years from their last day of study with us. In this case, there is no refund for the course.

If the student returns home, the remaining accommodation balance will be refunded.

All prices and information in Lewis School publicity, including on the website, are given in good faith.

However, the school may change prices or programme details without notice because of tax increases, inflation, government action or other events outside our control. You can find this policy here Lewis School Policies
